5 keys to organizing productive meetings

For a company to function properly, good internal communication is essential. Employees should maintain proactive and frequent communication with their supervisors, making weekly or monthly meetings highly recommended to ensure adequate monitoring of the company's workflow.
Today on the Apen blog we want to give you some tips so you can organize the most productive meetings possible:
- Appoint an organizer or speaker; it's important that someone takes charge of organizing and moderating the meeting, structuring its operation, and introducing the topics to be discussed in an orderly and respectful manner. This person will be responsible for guiding the conversation toward the previously established objectives.
- Record what happens in the meeting: It is very important to record, in writing, everything that happens in the meeting so that afterwards everything is clear and specified exactly as agreed, avoiding misinterpretations.
- Avoid holding massive meetings: Team meetings should be reserved for important company matters that affect all staff. When dealing with a specific departmental or individual issue, it's best not to involve everyone. Focus attention where needed, avoiding rumors and giving undue information to those not directly involved.
- Purpose should take precedence over time: The objective of the meeting should not be the time itself, but rather the reason for the meeting. It's not necessary to be in a room for an hour if what you want to say can be summarized in 15 minutes; likewise, if you need more time to explain an important topic, you should elaborate as needed to ensure it is perfectly understood by both parties.
- Prepare the meeting well: All attendees should be informed of the meeting a few days in advance, during which they should prepare by gathering papers, files, and everything they need to make their contribution in a professional manner.
